Phone and subscription

The department of physics uses the Mobile extension (MEX) service from SU which replaces the desk phone. You get full functionality on your mobile phone and can refer phone calls if you are ill, at meetings etc. You can also call the four-digit extensions within the SU directly from the mobile phone.

The MEX service offers a complete phone solution with extension number, mobile subscription, switchboard operator service and referral options. The subscription applies so-called flat rate, which means a fixed cost with free calls and text messages within Sweden and within EU / EEA countries. This applies within reasonable limits. Also included is 100 GB of surf. The mobile phone is not included in the subscription and must therefore be purchased separately.

This Applies to Fysikum

All employees with an permanent employment and with a seniority of at least
50% shall have a MEX subscription. These are also offered a phone device
at a cost of up to SEK 3000. All staff with a fixed-term contract of at least two years and a minimum grade of 50% will be offered a MEX subscription but no telephone. If necessary, a MEX desk phone can be installed in laboratories, etc.

To note. The subscription includes 2 GB of surf, but when used within Albanova or the University campus you can surf via the wireless network. The subscription does not yet include free calls or surfing when outside EU/EEA countries.

  • A basic mobile phone model. This option is suitable for those who primarily use the phone at the workplace.
  • A smartphone-type phone is used to take advantage of more modern phone functionality (email, apps, calendar, etc.). This option is suitable for those who depend on these functions in their work. The department does not finance the most advanced devices. The limit is set at SEK 3000.
  • Anyone wishing for a more advanced smartphone may finance such a device using project funds if this is considered valuable for the project. In that case, the device is financed entirely through project funding. Likewise, project funds may be used to finance additional mobile data volume.
  • It is also possible to insert the MEX SIM card into a private mobile phone and to connect a private mobile number to the device (i.e. to the SIM card). In the latter case, you notify that you want to port the number, and the IT department will handle the rest (i.e. you do not cancel the subscription yourself).

For employees who do not have access to project funds but who, in their role at Fysikum, have a clear need for a more advanced device, the Head of Department may decide to approve an exception to the above-mentioned limit. Employees who require additional mobile data volume for work purposes may also have this financed through project funds or through a special decision by the Head of Department. Replacement of mobile phones purchased by Fysikum will not take place more often than every three years.

Our assessment is that it is preferable to keep the MEX phone separate from a private mobile phone, partly because the subscription does not include mobile data or call charges when abroad. If you choose to connect your private mobile subscription to the MEX service (and thereby avoid private subscription costs), there is, in principle, a risk that this could be considered a taxable employment benefit. However, for those who perform work outside the workplace and outside normal office hours, private use will most likely not be subject to taxation (according to communications from the Swedish Tax Agency). Ultimately, however, this is a matter between the individual and the tax authorities.

You who are permanently employed at least 50%:

  • You who want to buy a more advanced phone with your own project means order the device yourself from Atea.
  • You who want to fund additional surf volume through project funds notify Ronni Barouta

You who are employed for a minimum of two years (including PhD students) with at least 50% service:

  • You who wish MEX phone service with a SIM card for private phone device, notify it to Ronni Barouta.

To assign private phone number to your MEX phone:

  • If you wish to associate your private mobile number with the MEX phone, notify it to Ronni Barouta (but do not cancel your private carrier's subscription).

What is included in the subscription

The subscription includes:

  • Free calls and text messages (SMS) within Sweden, EU and EEA.
  • 100 GB of surfing in Sweden, the EU and the EEA.
  • Calls from Sweden to countries outside the EU/EEA are possible, but if the costs are too high, the department may have to pay extra.
  • Calls from outside the EU/EEA are possible, but we recommend that you buy a local solution, such as a prepaid card, in the country you are visiting, otherwise it can be very expensive.
  • There is a cost limit for surfing outside the EU/EEA, it has a cost ceiling of 625 SEK, after which it is blocked. In some cases, there may be a delay before the notification that the cap has been reached is sent to you, so you need to be aware that costs can skyrocket.

When your employment ends

Phones purchased through SU must be returned when employment ends. These should be handed in to Ronni Barouta or someone in the systems group.
